TEM Cost Savings Opportunities

Lines and Equipment:

  • Identify and disconnect unused, lost or forgotten lines, such as old modem lines. This could result in significant savings and there is no charge to disconnect a line so the savings is immediate.
  • Review the need for ISDN lines in your department: If ISDN is not warranted, a change to Analog will result in savings.
    • Analog lines are appropriate for most users when coupled with the new feature rich analog sets that include display and message waiting.
    • ISDN lines are appropriate for call coverage and screening applications or in cases where there is heavy call volume.
    • Secondary Directory Numbers (SDN) are appropriate where there is a need for a line with no dedicated ISDN equipment. The SDN must appear on an ISDN line. Examples would be for a second private line or a shared main number for a department.
  • Change all Profile 7 lines to ISDN Profile 6 or Analog Profile 1 lines.
  • Review all ISDN equipment, replacing older sets such as the 7500 series with new more updated equipment.

Usage:

  • Restrict lines to local calling in areas that may be in more public areas. Assign authorization codes to track usage by user.

Voicemail:

  • When reviewing billing statements, look for voicemail and features that may not be needed.
  • Review voicemail applications (menu mailboxes with many options) that may be able to be trimmed down and simplified.
  • Review Expand and Jumbo mailboxes and consider if they are still required.
    • Standard allows up to 25 messages with a maximum length of 1.4 minutes ( $4.00 per month)
    • Expanded allows for up to 60 messages with a maximum length of 6 minutes ( $20.00 per month)
    • Jumbo allows for up to 135 messages with a maximum length of 3.5 minutes ( $25.00 per month)

Wireless:

  • Although UIS telecom will complete a Rate Plan Analysis to optimize all cell phone plans, when reviewing your current cellular inventory on the TEM spreadsheets you may want to consider the following:
    • Eliminate Aircards that are not being used, or when a user already has a PDA or Blackberry
    • Consider whether everyone who has a cell phone really needs a cell phone
    • Restrict Premium Text Messaging and Get It Now downloads.

Other:

  • Eliminate Verizon Directory listings. Verizon charges $4.00 per month per listing.
    The Harvard University main number is listed in the Verizon Directories. Callers will be transferred by the Harvard Operators to the desired department.
