Audio Conferencing

How to Use the Audio Conference Service:

For conference calls involving more than 3 parties, there are (2) basic options detailed below:

•  Self Service Audio Conferencing

•  Audio Conferencing Scheduled through the Harvard Operators.

As always, an individual caller can make a conference call with 3 or fewer callers by using the basic Harvard University Centrex feature “three-way calling.” While on the call with the first party, the individual can depress the conference button (ISDN phone) or the recall, link, or flash button (analog phone), call the third party, and then depress that button again. All three members will be connected. Contact customer service at 5-8590 or telecom_orders@harvard.edu with any questions on this feature.

•  Self-Service Audio Conferencing

for departments that use conferencing services on a regular basis or want 7 x 24 access:

Departments can obtain their own conference account.
With this self-service option, departments are issued their own specific toll-free number and "leader" and "participant" passcodes which will not change or expire.

Cost: 4.9¢ / minute for each participant.Domestic only calls

How to Obtain a Self-Service Account:

By phone: Call Conference America at 1-800-925-8000 and ask for an Always On account

•  You, as the event leader, will receive an email from Conference America with the access numbers and "leader" and "participant" passcodes as well as basic instructions. A wallet card will be mailed subsequently with this information for future reference.

•  It is the event leader's responsibility to provide the access number and participant passcode to each participant in advance of the meeting.

 

•  Audio Conferencing Scheduled through the Harvard Operators

for departments without an account who need to schedule a conference call:

To Schedule through the Harvard Operators :

 

During business hours(M-F, 9-5)

 

Call (617-49) 5-5575 (the Harvard Operators) and provide the following information.

1.Name & telephone number of the conference call leader

2.Billing telephone number (must be a Harvard telephone number). The total conference call charges are billed to the conference leader's Harvard number.

3.Requested date and time of the call

4.Special requests (e.g. to record or transcribe the call.)

The Harvard operator will coordinate with the vendor and then contact the conference call leader with the details. Please schedule the call in advance, preferably with a day's notice.

The conference leader is responsible for providing the toll-free number and code to each participant.

Cost: 10.9¢ / minute for each participant.Domestic only calls

After hours

Call 1-800-925-8000 (Conference America directly) and provide the following information.

1.Name & telephone number of the conference call leader

2. Billing telephone number (must be a Harvard telephone number). The total conference call charges are billed to the conference leader's Harvard number.

3.Specific call information

a. Special requests (e.g. to record or transcribe the call.)

b. Your fax # or email address for confirmation

The conference leader is responsible for providing the toll-free number and code to each participant.

Cost: 10.9¢ / minute for each participant.Domestic only calls

Other Chargeable Items/Services

Dial out- Operator: Conference America operator dials out to the attendees.

•  Domestic: 10.9¢ / minute for each participant

•  International: Two options are available:

•  If conference leader does not want to incur cost of call: The Participant pays for call and the conference leader is billed for the conference bridge at 10.9¢ per minute per participant. A toll number is provided (noted on AlwaysOne Conference Card as “Backup Toll Access #), which leader is responsible for distributing to participants along with passcode.

•  If leader wants to incur total cost to call the international participant, press (*0) while on the call for the vendor operator and provide the international number. Vendor will dial out to participant.

Recording:5.7¢ / minute (Toll-free digital replay; Recordings kept for 60 days) and available in the following formats:

  • Standard Audio Cassette - $7.50 per cassette
  • Compact Disc: Wave, MP3, Real format, Audio CD (MP3 & Real format can be emailed) - $25.00 per CD
  • Overnight shipping available for an additional $25.00

Replay on Demand:5.7¢ / minute
Transcription:$9.50 per page (Standard legal format; 24-hr. turnaround)
