Telecommunications Expense Management Program
UIS Telecommunications is inviting the schools and departments within the University to participate in a Telecom Expense Management (TEM) Review to potentially reduce both landline and cellular expenses. Over the past several years, UIS Telecommunications has worked with many schools and departments to reduce their telecommunications expenses. To date these reviews have resulted in savings in excess of $470,000 annually for the University.
The TEM Review is a comprehensive assessment of your telecom infrastructure which includes landlines, circuits, calling cards, authorization codes, telephone equipment, voicemail, and cellular monthly expenses. The UIS Telecommunications Analyst, as part of the TEM Team, will be available to consult with designated telecom contacts from the schools and departments to recommend appropriate changes with the overall goal of reducing expenses. Resource(s) from the schools and departments will need to be available to review, authorize, and submit the changes.
In addition to reducing monthly costs, the TEM review will provide the following value:
- Create a complete and accurate inventory of every telecom billable item.
- Provide the ability to update billing records with correct names.
- Identify billed lines and voicemail boxes that are no longer required.
- Review all ISDN equipment, replace outdated equipment or change to analog where appropriate.
- Revisit telephone design to understand calling patterns, staffing and workflow and identify opportunities for further savings.
- Review all cellular plans to ensure plan efficiency.
- Consult and recommend changes that will help to control future costs (e.g. use of TORTE reports to monitor costs, travel tips, end user awareness of costs.)
- Quantify reduction in monthly charges.
To request a Telecom Expense Management Review, contact Kim Vitols, TEM Project Coordinator, Email UIS_TEM@harvard.edu, Tel. 617-496-8305. A kick-off meeting will then be scheduled to discuss the TEM review process in detail.
