Manage department messaging more effectively

The Telecommunications group can help your department create a versatile and user-friendly voice mail application to manage incoming calls, provide repetitive information, such as, directions, hours of operation, special announcements, etc. An application typically integrates two or more specialized mailboxes, which are briefly described below.

To discuss your needs for a voice mail application, your telephone contact should speak with the Customer Analyst assigned to your account. If you don't know the name of your department contact or Customer Analyst, call (617) 495-8590 and we can provide you with the name and number.

Automated attendant
This option allows callers to use the spell-by-name feature of voice mail to reach a phone extension or voice mailbox. You can also give callers the option of directly contacting a support person, such as an administrative assistant.

Menu
A well-designed application can be helpful when you want callers to choose from many options, such as a list of departments or faculty/staff names.

Listen only
Provide frequently sought information such as details about an upcoming event or directions to your facility.

System distribution
Send voice mail messages to up to 350 subscribers at a time, for example all faculty and staff in your school or department.

Question & answer
Also called a "forms mailbox," this application is typically used in research applications. It allows you to ask callers a series of questions and then collect the answers in flexible ways.
