Education Reimbursement Program
The Tuition Assistance Plan (TAP) offered by the University provides a wide variety of opportunities for staff members to further their self-development through education. Courses taken at Harvard provide personal and career enrichment, as well as help staff members learn about their career field. In addition, TAP provides reimbursement to staff enrolled in courses at other accredited institutions.
This document is intended to communicate UCIO education reimbursement policy by providing a brief summary overview of current Harvard practice. For full details on all aspects of TAP please visit http://harvie.harvard.edu/learning/educationassistance/tapbooklet/.
The TAP benefit when applied to courses taken within Harvard cover’s the cost of tuition and school-specific registration fees up to two courses per semester, not to exceed 8 credits. The employee is required to pay a TAP fee at the time of registration.
The TAP benefit when applied to courses taken outside of Harvard provide a 75% reimbursement of total course cost up to two courses or 8 credits per semester, not to exceed a maximum reimbursement of $5,250 per calendar year.
The TAP benefit when applied to courses taken within Harvard cover’s the cost of tuition and school-specific registration fees up to two courses per semester, not to exceed 10 credits. The employee is required to pay a TAP fee at the time of registration.
The TAP benefit when applied to courses taken outside of Harvard provide a 90% reimbursement of total course cost up to two courses or 10 credits per semester, not to exceed a maximum reimbursement of $5,250 per calendar year.
Employees of UCIO will be reimbursed for their Harvard TAP fees as well as the remaining 10% or 25% portion of the cost for a non-Harvard courses not covered by TAP, provided they receive a grade of "B" or higher for a graduate level course and "C" or higher for an undergraduate level course.
Courses taken at Harvard are eligible for reimbursement based upon the grade requirements stated above. Reimbursement will be based on the fee paid for the course, which is dependent upon the school.
In order to process payments the staff member will need to provide the following to UCIO, Human Resources:
- Copy of transcript detailing course name and grade (Harvard/non-Harvard course)
- Proof of payment, in the form of a cancelled check, credit card statement or Extension
School balance record (Harvard/non-Harvard course)
- Description of course (non-Harvard course)
- Tap form, including Manager and Human Resource representative signature
(non-Harvard course)
Requests for reimbursements must be submitted no later than 60 days from the end of the course for non-taxable benefit and will be processed by the Travel Office. Any claim for reimbursement submitted beyond ninety (90) days after the completion of the course will be processed as taxable income, without exception, and will not be grossed up. All claims for expenses left unreported for six months or longer after they are incurred will not be reimbursed.
Payments will be Direct Deposited into the employee's bank account or be processed as a separate check and sent to the employee's primary office address.
A course taken outside of the University will be reimbursed only if it meets the criteria for reimbursement under the Harvard TAP benefit.
If an employee exceeds their University TAP benefit by either taking more than the allowed credits or spends over the maximum reimbursement amount of $5,250, UCIO Human Resources is not required to reimburse the employee. Rather the Director of the department may agree or disagrees to reimburse the employee out of departmental funds. Criteria used in this decision should include contributions made by the employee and/or whether the knowledge learned by the employee benefit the department.
Reimbursement of course materials, such as books, is at the discretion of the Director and is paid from departmental funds, not UCIO Human Resources. Please note that in such cases the materials become the property of the department for use amongst all staff.
