User Accounts

Important Information:

Requests to Create New User Account or to Delete User Account are only accepted from an Authorized Requestor. Please check the Authorized Requestors list for your local department requestor.

ICEMail (Integrated Calendar and Email) email and calendar accounts on the Microsoft Exchange Server are created for new employees on the first day that their Current Employment Role and Harvard University ID information appears in the MIDAS database, usually no later than one day after the employment role start date. Access to email and network shared drives is added to the user account by DLS.

Only Harvard-owned and approved smart phones will be granted access to the ICEMail system. Please see the PDA Handheld Device Policy for more information.

When a temporary employee is hired as a permanent employee of Harvard, a new Exchange account is created for them by default. Email in the employee's temporary email account will be moved to the new permanent email account only upon written request to dls@harvard.edu by the department's Authorized Requestor.

Requests for email quota increases must be submitted via email to dls@harvard.edu by the department's Authorized Requestor or the department's finance office.

Approval from the department is needed when an employee is transferring to another Harvard department, or leaving Harvard, and wants to take email or any local data files with them. Approval must come from the department's Human Resource Office for email and the employee's manager for any local data files.

A Delete User Account Request Form must be submitted by the department's Authorized Requestor to close the temporary or permanent employee's Central Administration network and email account when an employee's employment role changes (from temporary to permanent, transfer to another Harvard department, or leaves the University).
