Message: Oracle Financials will be unavailable after close of business Friday, October 10 until 8:00 a.m. Monday, October 13 for the FINDINI 3.2.6 release.


Alert: CREW, Ad Hoc: IMPORTANT OUTAGE INFORMATION for Oct. 10 - 12, 2008
   
 
IMPORTANT OUTAGE INFORMATION for Oct. 10 - 12, 2008 for the CREW Reporting Application and Ad Hoc environments during the installation of the scheduled CREW APP 1.5.3 & CREW FIN 3.2.6 releases.

-- All CREW reporting will be unavailable from 5pm, Fri., Oct. 10 to 6am, Mon,. Oct. 13. Including: -- Financials -- Grants Management -- Student Data Warehouse -- CAPS and -- Human Resources.
-- DWCENPRD ad hoc & exporting databases will have the same outage as CREW Reporting above.
-- HDWUTS ad hoc database will be unavailable from Oct. 9th at 8pm until 10/13, 6am.
-- DWHRPRD, IMSUTS & DWHRHST ad hoc & exporting will be AVAILABLE as usual during the weekend.
-- The CREW nightly data load for Friday, Oct. 10 is cancelled. A special load of financials data will run on Sat. night, 10/11. The HR data load will run on Sun. night as ususal.

The University's financial systems will be unavailable from 6:00pm on Friday, October 10th until 6:00am on Tuesday, October 14th to accommodate a scheduled release. Financials systems include Accounts Payable, Accounts Receivable, Bottomline, Budget Tool, CAPS, Cash Management (CMRA), Chart Security Maintenance Application (CSMA), CoA Validator, Electronic Shop and Pay (ESP), General Ledger, GL Validator, HCOM, i-Procurement, PCard, Web ADI, Web Reimbursement, and Web Voucher.

The Project ICE! Team is very pleased to report a successful Meeting Maker to ICE! Calendar migration this past weekend. Over 1.5 million appointments, meetings, to-dos, conference rooms and resource reservations were migrated for nearly 2,000 users in our community. You can begin to use the system immediately.

We’d like to communicate the following information to help you both understand the data now present in your ICE! calendar, as well as to help get you started using the new Calendaring system:


Meeting Maker appointments and meetings from May 1, 2006 to the present and 2 years forward will be present in your ICE! Calendar. Historical meetings will show as appointments in ICE! and will retain their attendee information.
You may notice some converted meetings with a notation that reads (DST ADJ). This is to inform you that the migration process has made an adjustment to the meeting time to accurately reflect Daylight Savings Time.
You may see “pop-up” reminders from past meetings – this is normal – we recommend hitting “dismiss all”.
Be sure to set new calendar options such as free/busy, sharing, and workdays/hours.
The Harvard Holidays for 2008 & 2009 have been added as all day events but are marked as ‘free’ time. It is suggested that you edit the holidays to mark your time as ‘Out of the Office’.
PDA/Handheld services will be restarted by 7:00pm Sunday evening. Some PDA/Handheld devices will require a DLS desktop visit to become active with calendaring (contact your Department Coordinator for more information or call the DLS helpdesk at 5-8411).
Conference rooms and resources now appear in the GAL and have an extension of “cr” and “ri”, respectively. They are also listed in a special area of the GAL called “ENT-All-Resources”. GAL names listed in bold are not resources.
In some instances, converted meetings will not appear properly in OWA. The same meeting will always be correctly visible in Outlook or Entourage. This behavior affected recurring meetings where a single date instance was deleted. This will not affect events created through normal use of ICE! in the future.
Your Meeting Maker client will continue to function in “Off-line” mode with a snapshot of your calendar when you last used the system. It provides an excellent reference copy in the short term.
Meeting Maker Contacts were migrated only for users who specifically requested this service. If you would like your Meeting Maker Contacts migrated, we plan to do another migration for Contacts Tuesday evening, April 8th. Please email us at Projectice@harvard.edu.
